Start with your annual seat spend: reps times the monthly seat cost times 12. Then find your admin cost: reps times weekly admin hours times 52 weeks, times each rep's hourly rate, which is loaded yearly pay divided by 2080 working hours. Multiply admin cost by the share of that time a better CRM would reclaim to get your value reclaimed. First year ROI is value reclaimed minus seat spend, divided by seat spend.

Take 10 reps at 150 dollars a seat per month, each spending 5 hours a week on CRM admin, with a loaded cost of 120,000 dollars a year. Seat spend is 18,000 dollars a year. Admin cost comes to about 150,000 dollars a year. If a better CRM reclaims 30 percent of that time, that is 45,000 dollars in value reclaimed and 780 hours back, for a first year ROI of about 150 percent.
